What we manage
Every service below is administrative. None of it involves the practice of medicine, and none of it is contingent on what the practice collects. A client practice takes the full platform or phases service lines in as it grows. The detail is tuned to weight loss and primary care, because that is the only kind of practice we manage.
Revenue cycle
Getting the claim out clean and getting it paid, then showing the practice exactly what happened.
- Charge capture and coding review. Daily reconciliation of encounters to charges, with review of evaluation and management levels, medical decision-making documentation and diagnosis coding before submission.
- Claim submission and clearinghouse management. Electronic submission, rejection triage, payer edits and resubmission within one business day.
- Denials and appeals. Denial categorization, corrected claims, written appeals and payer escalation.
- Prior authorization support. Submission, tracking and appeal of medication authorizations, including GLP-1 and other weight management agents, against each payer's current coverage criteria and on the clinical team's instruction.
- Patient balances and subscriptions. Statements, payment plans, card-on-file processing, recurring subscription billing alongside insured claims, and a staffed billing phone line.
- Reporting. Monthly collections, days in accounts receivable, denial rate by payer and payer mix.

Credentialing and payer enrollment
The single longest lead time in opening a practice. We start it before the doors open and keep it current.
- Initial enrollment. Group and individual applications for commercial plans, Medicare and Medicaid, including EDI, ERA and EFT setup.
- New provider onboarding. Credentialing packets for physicians and advanced practice providers, with weekly status reporting to the practice.
- Maintenance. CAQH attestation, license and DEA renewals calendar, roster updates, demographic corrections and re-credentialing ahead of deadline.
- Contract administration. Fee schedule review, contract renewal tracking and payer term comparison for the practice's decision.
Payers we work with regularly in North Texas include Blue Cross Blue Shield of Texas, Aetna, Cigna, UnitedHealthcare, Medicare, Baylor Scott & White Health Plan and First Health Network.
Technology
A working clinic stack on day one, licensed and configured by us, so a new practice is not evaluating software during its first month.
- EHR and practice management build. Templates, order sets, fee schedules, users and role permissions configured to the practice's workflow.
- Scheduling and online booking. Self-scheduling, reminders and waitlist management.
- Telehealth. Video visit platform and documentation workflow, scoped to the states in which the practice's providers are licensed.
- Communications. Phone system, e-fax, secure messaging and after-hours routing. Patients are never required to create an account to reach the practice.
- Interfaces. Lab, e-prescribing and clearinghouse connections, plus device and network setup at the site.

Staffing and human resources
We recruit, employ and furnish the non-clinical staff a practice needs, and administer the employment paperwork for the staff it employs directly.
- Recruiting. Job descriptions, sourcing, screening and reference checks for front desk, medical assistant, coordinator and billing roles.
- Furnished staff. Non-clinical personnel employed by Synergy and assigned to a client site, billed at cost plus an agreed administrative markup, separate from the management fee.
- Onboarding. Background checks, immunization and training records, HIPAA training, system access and site orientation.
- Payroll and benefits administration. Timekeeping, payroll processing, benefits enrollment and offboarding.
- Scheduling. Coverage planning across sites and float coverage for absences.
Hiring decisions for clinical personnel, and all supervision of clinical work, remain with the physician owner.
Compliance program
A written program the practice can hand to a payer, a surveyor or its malpractice carrier.
- HIPAA. Policies and procedures, annual workforce training, security risk analysis, business associate agreements and breach response procedure.
- Advertising and marketing review. Claim substantiation, disclaimers, testimonial handling and platform certification for regulated categories.
- Documentation and records. Retention schedule, release-of-information workflow and audit trail, with the medical record owned by the practice.
- Vendor diligence. Licensure verification for laboratories and pharmacies, contract review and insurance certificate collection.
- Incident handling. Complaint intake, tracking and reporting to the physician owner.
Platform-level registrations, including a submitted application for LegitScript healthcare merchant certification, which regulated advertising channels require for weight management services.
Marketing and patient acquisition
One campaign, run centrally, routing new patients to whichever client practice serves that geography.
- Website and content. Practice site, service pages, patient education material and article production.
- Local search. Google Business Profile, directory listings, review requests and response.
- Paid media. Search and social campaigns, landing pages, call tracking and cost-per-acquisition reporting.
- Direct mail. Every Door Direct Mail campaigns targeted to the practice's catchment.
- Creator partnerships. Local nano-creator and influencer outreach with compliant messaging.
- Referral development. Employer, gym and specialist referral packets.
Enquiries are routed by geography and service line. No practice pays for leads it did not receive.
Facilities and procurement
From an empty suite to a licensed, stocked, inspected clinic.
- Site selection and lease support. Market analysis, site tours and lease negotiation support for the practice's signature.
- Buildout management. Space planning, contractor selection, permitting and construction oversight.
- Equipment and furnishing. Exam room equipment, point-of-care testing devices, IT hardware and furniture.
- Supply chain. Medical and office supply accounts, par levels and reordering.
- Laboratory and pharmacy accounts. Reference laboratory client accounts and pharmacy relationships established at the platform level.
Prior projects include a full tenant improvement buildout of the Lewisville clinic site.
Financial operations
The practice owner should be able to answer "how are we doing" in under a minute.
- Bookkeeping coordination. Chart of accounts, transaction categorization and coordination with the practice's accountant.
- Monthly reporting package. Profit and loss, collections, visit volume, payer mix, subscription counts and provider productivity.
- Budgeting and forecasting. Annual operating budget, hiring plans and expansion modeling.
- Payer contract analysis. Reimbursement by code and payer, with renegotiation targets identified for the practice.
- Accounts payable. Vendor invoice processing and payment scheduling on the practice's authorization.
All practice revenue is deposited to accounts owned and controlled by the practice.
